Introduction
This Payment Policy explains how payments are made for orders placed through the FrigX platform.
FrigX operates as a construction logistics marketplace connecting customers with approved suppliers, drivers, transport operators and equipment providers for construction materials, transportation, machinery hire and related services.
This policy applies to customers and service providers using the FrigX platform and should be read alongside the FrigX Terms and Conditions and Cancellation and Refund Policy.
Pricing and Order Confirmation
FrigX displays a single total price for each order. This price incorporates the applicable service or material costs, transportation, delivery and FrigX's pricing margin.
- Customers must review and accept the total order price before confirming their orders.
- The displayed price represents the amount payable for the agreed service. No additional charges may be imposed without the customer's agreement.
- Once an order has been confirmed, any changes to the agreed price must be communicated to and accepted by the customer before they take effect.
Booking Deposit — 10%
Customers are required to pay a booking deposit equal to 10% of the total order price to confirm every order placed through FrigX.
The booking deposit:
- Forms part of the total order price and is not an additional charge.
- Confirms the customer's intention to proceed with the order.
- Allows the order to proceed to supplier or service-provider confirmation, subject to the applicable booking process.
The remaining 90% constitutes the outstanding balance and must be paid in accordance with Section 4 of this policy.
The treatment of the booking deposit when an order is cancelled, a supplier fails to fulfil an order, or a service cannot be completed is governed by the FrigX Cancellation and Refund Policy.
Payment of Outstanding Balance
After paying the 10% booking deposit, the customer must pay the remaining 90% of the total order price according to the following arrangements.
Standard Deliveries and Services
For construction materials, including sand, stones and gravel, water delivery, septic services, transportation and other standard delivery services, the outstanding balance is payable upon successful delivery and confirmation by the customer.
- The customer should verify that the agreed materials or services have been supplied before confirming successful delivery.
- Where a genuine dispute arises concerning the quantity, quality or completion of the service, the matter will be handled in accordance with the applicable FrigX dispute-resolution and refund procedures.
Machinery and Equipment Hire
For machinery and equipment hire, including excavators, backhoes and other heavy equipment, the outstanding balance must be paid before the equipment begins operating, unless a different payment schedule has been expressly agreed and confirmed by the customer and the service provider through FrigX.
- The applicable hire duration, price, payment schedule and other relevant conditions must be communicated to the customer before the order is confirmed.
- Where machinery hire is charged by the hour, day or another agreed period, any additional charges arising from extended use must be communicated to and authorised by the customer before they are incurred.
Payment Confirmation
- Customers must ensure that the required payment has been successfully completed.
- An order should not be treated as fully paid merely because a customer has initiated a transfer or received an unverified payment notification.
- FrigX may verify payment status through its payment provider or the relevant transaction records before updating an order's payment status.
Accepted Payment Methods
- FrigX may support Mobile Money (MoMo), bank cards and other payment methods made available through its approved payment providers.
- The payment options available for an order will be displayed or communicated to the customer.
- Where direct payment to an approved supplier or driver is permitted, the customer must follow the authorised payment instructions for that order.
- Customers should retain their payment confirmations and transaction references until the order has been completed.
- FrigX will communicate any changes to its supported payment methods through the platform or other appropriate channels.
Supplier and Driver Payments
- Suppliers, drivers, transport operators and equipment providers must agree to the applicable price and payment terms before accepting an order.
- The amount payable to a provider for fulfilling an order must be established and recorded in accordance with the applicable commercial agreement.
- Where customer payments are processed through FrigX's approved payment provider, supplier settlements will be handled according to the agreed payment arrangement and the provider's supported settlement process.
- Where direct payment to a supplier or driver is authorised, the transaction must be properly recorded on the FrigX platform.
- Suppliers and drivers must provide accurate information concerning payments received and services completed.
- Any payment disputes between customers and service providers may be referred to FrigX for review in accordance with the platform's applicable procedures.
FrigX Pricing and Revenue
- FrigX earns revenue through its pricing margin, which is incorporated into the total price displayed to the customer.
- The customer is presented with a single total price for the agreed service rather than a separate FrigX commission charge at checkout.
- The supplier or service provider receives the amount agreed with FrigX for fulfilling the order.
- For internal accounting, FrigX records the customer-facing price, the agreed provider cost and the resulting gross margin for each transaction.
- FrigX's gross margin is the difference between the customer-facing price and the agreed provider cost, before applicable operating expenses, payment-processing charges and other relevant costs.
- The commercial terms agreed with each supplier or service provider will govern the amount payable to that provider.
Failed, Delayed or Unsuccessful Payments
- An order may remain pending until the required payment has been successfully verified.
- If a customer has been charged but the order has not been confirmed, the customer should contact FrigX with the relevant transaction reference.
- FrigX will investigate the discrepancy, including contacting the relevant payment provider where necessary, and facilitate any applicable reversal or refund.
- Customers must not make duplicate payments solely because an order confirmation has been delayed without first checking the payment status.
- Where a payment fails, the customer may be required to complete the payment again before the order can proceed.
Cancellations and Refunds
- All cancellations, refunds and payment reversals will be handled in accordance with the FrigX Cancellation and Refund Policy.
- The applicable outcome may depend on the reason for cancellation, whether a provider has accepted the order, whether work has commenced, whether the service has been delivered and any other relevant circumstances specified in that policy.
- Where a supplier or driver fails to fulfil an order, FrigX will handle the matter in accordance with the applicable cancellation and refund provisions.
- Nothing in this Payment Policy overrides the customer's rights under applicable law.
Payment Disputes
- Customers and service providers should promptly report payment discrepancies or disputes to FrigX through the official support channels published on the platform.
- FrigX may review order details, payment records, transaction references, delivery evidence and relevant communications to help resolve the dispute.
- Customers and providers are expected to cooperate with reasonable requests for information.
- Where a dispute concerns cancellation, failed delivery or a refund, the matter will be handled in conjunction with the FrigX Cancellation and Refund Policy.
Fraudulent Payments and Misrepresentation
- Customers and service providers must not submit false payment confirmations, manipulate transaction records or misrepresent amounts paid or received.
- FrigX reserves the right to investigate suspected payment fraud and take appropriate action, including suspending affected transactions or restricting platform access where reasonably necessary and permitted by applicable law.
- Suspected fraudulent activity may be referred to the relevant payment provider or competent authority where appropriate.
Payment Records and Receipts
- FrigX will maintain transaction records in accordance with its operational procedures and applicable legal requirements.
- Where supported by the platform, customers and service providers may receive payment confirmations, order references or receipts showing relevant transaction details.
- Customers and providers should retain these records to assist with payment verification, reconciliation and dispute resolution.
Changes to Payment Arrangements
- FrigX may update its payment methods and operational arrangements to reflect changes in its services, payment providers or applicable legal requirements.
- Material changes will be communicated through the platform or other appropriate channels.
- Any change affecting an existing order must be handled consistently with the terms agreed for that transaction and applicable law.
Contact and Support
For payment enquiries, failed transactions, payment discrepancies or related concerns, customers and service providers should contact FrigX through the official support channels published on the platform.
When making an enquiry, the customer or provider should include the relevant order reference and payment transaction reference, where available.
